How to Prepare a Run of Show for Corporate Meetings, Award Shows, and Fundraisers

When it comes to producing a successful event, whether it is a corporate meeting, fundraiser, product launch, or gala, one document stands above the rest: the run of show.

At Amos Productions, we have supported events throughout the Tri Valley, Silicon Valley, Napa Valley, and across the Bay Area. From full scale corporate broadcasts to elegant fundraising galas, the events that feel effortless always have one thing in common. A detailed and well thought out run of show.

Here is how you can prepare one that sets your event and your production team up for success.


What Is a Run of Show?

A run of show is a minute by minute timeline of your event. It outlines what is happening, who is involved, what technical elements are required, and who is responsible for each piece.

Think of it as the master roadmap that keeps your venue team, audiovisual crew, speakers, and entertainment aligned.

Without it, events feel reactive. With it, events feel polished and intentional.


Start With the Big Picture

Before diving into timestamps, outline the major segments of your event:

Guest arrival and registration
Opening remarks
Presentations or panels
Video rolls
Awards or special moments
Entertainment
Closing remarks

This helps you visualize flow before locking in details.


Build a Detailed Timeline

Once your segments are clear, begin assigning specific times. A strong run of show typically includes:

Time
Segment title
On stage talent or speaker name (Full Name & Title for Broadcasts)
Audio needs such as handheld mic, headset mic, or podium mic
Visual needs such as slide deck, lower thirds, or video playback
Lighting cues
Stage transitions
Walk up and walk off music

Identify Technical Needs Early

Your production team cannot read minds. We rely on your run of show to anticipate every technical requirement.

This includes how many microphones are needed, whether presenters require confidence monitors, if there are remote presenters joining by livestream, and what format videos and slide decks will be delivered in.

If your event includes presidential teleprompters, this must be identified early in the planning process. Presidential style teleprompters use transparent glass panels positioned on either side of the podium so speakers can maintain eye contact with the audience while reading their script. These systems require properly formatted scripts, a teleprompter operator, and adequate stage space for placement.

When planning for teleprompters, clarify who is providing the final script and by what deadline, whether the script will be updated on show day, if multiple speakers are sharing the same teleprompter, and whether the stage design accommodates the glass panels and sight lines. Late script changes can significantly impact pacing and rehearsal time, so early submission is critical.

Providing assets such as slide decks, videos, and teleprompter scripts in advance allows us to test playback, confirm formatting, and ensure transitions are seamless.


Assign Ownership

Every segment should have a responsible party listed. Is the speaker confirmed? Who is advancing their bio and headshot? Who is delivering the final teleprompter script? Who is cueing each presenter to stage?

Clear ownership avoids confusion and keeps the event on schedule.

For larger events, hire an experienced show caller from Amos Productions. This person communicates directly with the production team and calls cues such as:

Standby video

Standby walk up music
Bring up house lights
Standby speaker
Advance teleprompter

Plan for Transitions

Great events feel smooth because transitions are planned.

Consider how speakers enter and exit, what plays during stage resets, how awards are handed out, and whether housekeeping announcements are needed.

Transitions are where events either shine or stall. Write them into your run of show intentionally.

Even the most rehearsed events need flexibility. Add small buffers between major segments. Speakers can go long. Applause can extend. Script pacing may need slight adjustments.

A realistic schedule protects your closing time and your audience experience.


Rehearse Whenever Possible

If your event includes complex elements such as multiple videos, live entertainment, lighting changes, broadcast components, or presidential teleprompters, schedule a rehearsal.

A rehearsal allows microphone checks, slide testing, video confirmation, stage blocking, teleprompter speed adjustments, script flow review, and timing refinements.

For teleprompter speakers, rehearsal is especially important. It allows them to practice reading naturally from the glass panels while maintaining strong eye contact with the audience. The teleprompter operator can adjust scrolling speed to match the speaker’s cadence and mark natural pauses. Rehearsal also ensures lighting does not create glare on the glass and that camera framing works properly for live broadcast or recording.

Share the Final Version With All Stakeholders

Once finalized, distribute your run of show to your production team, venue coordinator, speakers and panelists, event planner, and internal leadership.

Make sure everyone is working from the same version. Label it clearly with date and revision number to avoid confusion.
